New to the area- what’s the protocol for your player doing guest trials? Does the coach usually reach out after? Are they straight with parents/players to save time & effort?

Reach out to the director. They will put you in touch with the appropriate coach. They should invite you to attend a couple trainings. Every team will offer a spot. Find out if the spot is with the appropriate level of play.
Some coaches make you work your way up, some you work your way down. It's important that you train with the actual team they suggest for you before making your final decision.
I think most ECNL coaches will give you an appropriate assessment of your child. At the younger ages and other leagues it's a bit of a crap shoot. Some clubs are performing well financially, others are struggling to fill rosters. Be wary of any club that is struggling to fill roster spots on the top or second team in your child's age group. I'm sure the club can give you reasons why, But it should be a red flag.
Also, don't worry too much about finding the perfect fit. You will have opportunities to make different decisions as you figure out the landscape.

My kid was on an A team and we switched clubs. I was shocked when they put him on their B TEAM! I assumed he would automatically be put on the A team there too

As they said contact the office of the club near you, check their website for number of teams.
I would think most coaches would talk to you after the session if they were interested.
I would go watch a game if possible. Will give you a better idea of team culture and coaching style.
I think all RCL teams have 1-2 weekends of games left for State Championship (RCL league div 1) and Presidents Cup (RCL div 2 and lower)
schedules can be found here https://washingtonyouthsoccer.org/cups/
There's also Washington Premier league ( formerly puget sound premier league) it's less competitive than RCL, but stronger than select (north puget sound league)

XF 3rd team are often in the same division as smaller clubs 1st teams, I wouldn't focus to much on the letter and more on the results.
