Our coach gives us the receipts for the hotel, gas and tolls are divided equally between all teams involved if travel outside further than CT. CT only hotel is covered. Our coach coach’s two teams and they go to tournaments together. PDA cost $125 a night for two nights, $113 for gas and I think like $32 for tolls divided by 2. Both teams paid 197.50 out of the slush fund, about $11.62 per player. Our club uses slush funds for all travel expenses.

Most tournaments require you to book through a travel agency. While they may be comping rooms, those comps are going to host club and certainly not being passed onto any visiting clubs. When we book our rooms you would not know the coach from any of the players, it is simply another name booked to a room.
Are you saying that the coach is handling the kitty? While I am the team manager, I have someone else handle all of the money to avoid any potential conflicts or suspicion. We keep very detailed records on the kitty to make sure we do not run out and if there is a balance at the end of season, we will either roll it over or spend it on a team dinner or bonding event at the final trip of the year. I can say that you would be surprised at how the expenses add up.

The coaces expenses should be split between the teams that he/she coaches that are attending the same tournament - if every team is paying the same amount that is WRONG!
Our "B" and "C" teams pay for much of our extra cost. We are fortunate that are son is on an elite team so the tournaments that are added to our tuition is spot on.

If your team doesn't have a separate team fund dedicated to your specific team then your club is splitting all of the travel for all of the coaches in the club and all of the tournament entrance fees for all of the teams in club amongst all of the players in the club. If your team travels quite a bit then this probably works out in your favor but if it doesn't then you are paying for expenses others are incurring.

The yearly tuition includes 3 or 4 local tournaments. If the team does any additional tournaments the fee is split evenly among the players families. If the coach has two teams going to the same tournament then his/her fees should be split between the two teams.
It is your money. The parents should call her out. That goes for any coach that does not produce receipts for their travel expenses. All expenses should be split between all the teams that travel also. If she is unethical in one area she must be in others.
